Job Description

Position Title: Meeting Support Specialist

Employment Type: Part-Time

Schedule: Tuesday – Thursday, 10:00 AM – 7:00 PM

Pay Rate: $21.53/hr

Job Summary:

The Meeting Support Specialist plays a critical role in ensuring that training rooms and event spaces are set up efficiently and according to client specifications. The position involves providing on-the-ground support across various floors, assisting Floor Hosts, and handling audio-visual services as needed. This role is essential in creating a seamless and professional environment for meetings and events.

Key Responsibilities:

Room Setup & Maintenance

  • Set up training and conference rooms based on detailed specifications provided in diagrams and event forms.
  • Move airwalls between rooms to adjust space requirements as necessary.
  • Tape down wires and place training materials on tables as requested.
  • Ensure rooms meet client expectations, including lighting, supplies, AV equipment, temperature, and more.

Customer Service & Interaction

  • Maintain positive client relationships by staying informed about in-house and area functions, responding promptly to inquiries in person, via email, and by phone.
  • Monitor meeting rooms to ensure timely arrivals/departures, confirm attendance, and ensure rooms are kept in optimal condition.
  • Capture and report customer interactions for feedback and improvement.
  • Resolve customer issues creatively and efficiently, serving as a first point of contact.

Event Equipment & Clean-up

  • Ensure that all event-related equipment is properly stored and secured when not in use.
  • Clear leftover materials after events and ensure that all rooms are left in good condition.

Training & Professional Development

  • Participate in ongoing training to enhance knowledge and skillsets as required for the role.

Position Requirements:

  • Experience: 2–3 years of experience in the service industry (hospitality, event planning, hotel, or restaurant preferred).
  • Technical Skills: Strong proficiency in Microsoft Office Suite, Google Docs, and audio/visual equipment.
  • Physical Requirements: Ability to stand for long periods and lift/carry up to 50 lbs.
  • Communication Skills: Excellent verbal and written communication skills, with an ability to professionally interact with clients at all levels.
  • Professionalism: Maintain a high level of professional appearance and demeanor.
